Office Cleaning Checklist: Daily, Weekly and Periodic Tasks

Illustrated Dustate guide: Office Cleaning Checklist: Daily, Weekly and Periodic Tasks

A workplace checklist should say what happens, how often it happens and who checks completion. This guide helps Canberra office managers turn a broad cleaning request into an agreed schedule that suits occupancy, access and the premises.

Set frequencies around how the office is used

A quiet office used twice a week may need a different schedule from a busy shared workplace with frequent visitors. Start with occupancy, bathrooms, food preparation areas and floor types. “Daily” in a checklist is a proposed frequency for discussion, not a rule for every office.

Dustate’s office-cleaning service can quote the agreed work, while office contracts suit enquiries about a recurring arrangement. Name the premises, operating hours and access restrictions before choosing a schedule.

A starting checklist to adapt

Frequency to considerTasks to discussScope boundaries
Each agreed visitBins, kitchen surfaces, bathrooms and priority floor areasWaste streams and consumables agreed separately
Weekly or as requiredMore detailed dusting, accessible ledges and full floor coverageDesks cleared and equipment restrictions identified
PeriodicInternal glass, carpet extraction and detailed kitchen workEach extra expressly scheduled and priced
As issues ariseSpill reporting, visible damage and access problemsEscalation process rather than unapproved repairs

A schedule is only useful if someone owns each task. If staff empty desk bins while the cleaner handles shared bins, write that down. If the office supplies soap and paper products, specify restocking responsibility and storage access.

Keep desks and equipment boundaries clear

Ask staff to secure confidential paperwork and clear the surfaces that are to be cleaned. Identify desks that should not be touched and whether cleaners may move keyboards or other items. Screens, specialist equipment and server areas need explicit instructions; an office-cleaning contract is not permission to clean every device.

For shared workstations, describe the surface and agreed method. Avoid a broad “sterilise the office” promise. Product suitability, the actual task and any specialised requirements should be established before quoting rather than added as a marketing claim.

Separate periodic services

Carpet extraction, detailed appliance interiors and external windows should appear as named tasks where required. They may need different access, scheduling or drying arrangements from routine upkeep. The window cleaning guide helps specify sides, tracks and difficult glazing.

A periodic plan can record when an item will be reviewed without assuming an automatic extra visit. Agree who approves the price and timing before additional work is booked.

Plan secure access and communication

  • Set an approved arrival window and authorised contact.
  • Record key, alarm and lock-up arrangements privately.
  • Identify restricted areas and building access rules.
  • Agree how missed access or an unexpected occupant is handled.
  • Decide how staff report a specific cleaning issue.
  • Confirm who approves changes to tasks or frequency.

After-hours work requires the same clarity as daytime work. Tell the cleaner about building security, lifts and any lone-worker or site-specific requirements that affect the booking. Do not assume a general quote already covers every building’s procedures.

Price the written schedule

Dustate’s office starting prices are $100 for a small office up to 100 square metres and $160 for a medium office in the 100–300 square metre range. These are AUD starting figures; confirm the applicable tier at a boundary, the visit scope and frequency in the written quote. Larger or more complex premises need assessment.

The fixed, GST-inclusive quote should identify included work, extras and access assumptions. A starting visit price does not establish a monthly contract total without the agreed number and type of visits.

When appointing a contractor under a wider facilities arrangement, use the cleaning-subcontractor selection guide to check the work package and reporting responsibilities.

Build the office’s task schedule

Send Dustate the floor area, room list, occupancy, access hours and proposed task frequencies. Request a written office-cleaning scope that can be checked at each visit and reviewed when the workplace changes.

FAQs

Does every office need daily cleaning?

No single frequency suits all workplaces. Use occupancy, use patterns and required tasks to agree the schedule, then review it if the premises change.

Are carpet cleaning and windows included each visit?

Only if specifically listed. Treat periodic services as visible parts of the plan, with their own scope and timing where needed.
